Audio Visual Business Analyst

Position Overview:

This position will be seconded to one of Vega Global's largest banking clients, a globally recognized top-tier US investment bank with an extensive presence in the Asia Pacific region. Reporting to the VP of Global Technology for Asia Pacific, the Audio Visual (AV) Business Analyst will be responsible for monitoring and analyzing the utilization of collaboration rooms, AV spaces, AV support staff, and equipment within the client's buildings across Asia Pacific. The primary objective of this role is to ensure efficient and effective utilization of AV resources, optimize operational costs, and support decision-making regarding resource allocation and planning. The AV Utilization Analyst must possess strong analytical skills and attention to detail. While a solid understanding of AV systems and their functionalities is preferred, it is not essential.

Key Responsibilities:

1. Data Monitoring and Analysis:

  • Monitor and collect data on AV room, staff, and equipment utilization, including bookings, usage patterns, and availability.
  • Analyze utilization metrics, such as room occupancy rates, equipment usage rates, and staff workload, to identify trends, patterns, and areas for improvement. Generate reports and provide stakeholders with insights on utilization patterns and recommendations for resource optimization.

2. Resource Planning and Allocation:

  • Collaborate with the client's Line of Business Managers (LOB), Region Operations Manager (HK), Regional Service Delivery Managers, facility managers, and other stakeholders to forecast resource needs based on utilization trends and upcoming events.
  • Assist in determining optimal AV room configurations, staff scheduling, and equipment allocation to ensure efficient utilization and avoid bottlenecks or underutilization.
  • Make recommendations for resource acquisition, upgrades, or reallocation based on data analysis and utilization patterns.

3. Process Improvement and Efficiency:

  • Identify process inefficiencies related to AV room bookings, equipment maintenance, or staff utilization and recommend improvements.
  • Develop and implement streamlined workflows, tools, and procedures to enhance resource utilization, reduce downtime, and improve response times.
  • Collaborate with IT teams to leverage technology solutions, such as AV room booking systems or utilization tracking software, for automated data collection and analysis.

4. Stakeholder Coordination:

  • Serve as a liaison between the client's Senior Management, Regional Ops Manager, AV staff, facility management, and other relevant departments to coordinate resource allocation, scheduling, and support services.
  • Communicate utilization reports, trends, and recommendations to stakeholders, ensuring a clear understanding of the analysis and its implications.
  • Assist the Regional Ops Manager in preparing and delivering compelling monthly, quarterly, and annual reports and presentations to the client's senior Global Technology Management.

5. Continuous Monitoring and Reporting:

  • Continuously monitor and update utilization data, ensuring accuracy and completeness of records.
  • Generate regular utilization reports, highlighting key performance indicators, usage trends, and recommendations for optimization.
  • Collaborate with the Regional Ops Manager to present key findings and recommendations to management and stakeholders in a clear and concise manner, supporting data-driven decision-making.

Qualifications and Skills:

  • Bachelor's degree in a Technical and/or Engineering discipline and/or Business Analytics, or Operations Management (viewed favorably but not essential). Audiovisual technical qualifications are also viewed favorably.
  • Strong analytical, problem-solving, and critical-thinking skills are essential.
  • Proficiency in data analysis and visualization tools (e.g., Excel, Tableau, Power BI).
  • Understanding of AV systems, equipment, and industry best practices.
  • Excellent communication and interpersonal skills for stakeholder coordination.
  • Detail-oriented with the ability to handle and analyze large datasets.
  • Ability to work independently, prioritize tasks, and meet deadlines.
  • Familiarity with AV room booking systems or utilization tracking software is advantageous.
