This position will be seconded to one of VEGA’s largest banking clients—a globally recognized Top Tier US investment bank with a strong presence across the Asia Pacific. The Junior Document Controller will play a vital role in supporting documentation processes between VEGA and its client. This entry-level position is ideal for someone who is organized, detail-oriented, and eager to grow in a professional environment. The role focuses on assisting with document creation, control, and coordination to ensure consistency, compliance, and accessibility across teams.

 

 

Key Responsibilities

 

Document Support and Maintenance

  • Assist in the preparation, formatting, and updating of documents including reports, manuals, and SOPs.
  • Ensure documents are properly labelled, versioned, and stored according to established protocols.
 

Document Control Systems

  • Support the implementation and maintenance of document control systems.
  • Help manage access permissions and ensure documents are retrievable by authorized personnel.
 

Quality and Compliance

  • Conduct basic checks for completeness, formatting, and compliance with internal standards.
  • Flag inconsistencies or outdated content for review by senior team members.
 

Collaboration and Coordination

  • Work closely with project teams, subject matter experts, and administrative staff to gather documentation inputs.
  • Coordinate document reviews and approvals, ensuring timely updates and distribution.
 

Version and Record Management

  • Track document revisions and maintain logs of changes.
  • Archive obsolete documents and ensure current versions are in use.
 

Training and Support

  • Provide basic guidance to team members on document handling procedures.
  • Assist in onboarding new users to document management systems.

 

 

Qualifications

  • Bachelor’s degree or diploma in Business Administration, Information Management, Communications, or a related field.
  • 1–2 years of experience in document control, administrative support, or records management (fresh graduates with relevant internship experience are welcome).
  • Basic understanding of document management systems (e.g., SharePoint, Google Workspace, or similar platforms).
  • Strong attention to detail and organizational skills.
  • Good written and verbal communication skills.
  • Ability to work collaboratively in a fast-paced, multicultural environment.
  • Familiarity with compliance and confidentiality practices is a plus.
  • Experience in financial services or technology industries is an advantage but not required.
